How to add a signature in Gmail (desktop and mobile)
Gmail supports multiple signatures, a different one for replies, and even switching signatures on the fly per email. Here is the full, current process.
On desktop
- Open Gmail and click the gear βοΈ (top right) β "See all settings".
- On the "General" tab, scroll to the "Signature" section.
- Click "+ Create new", name it (e.g. "Work") and paste or type your signature in the box.
- Just below, under "Signature defaults", choose which signature to use for new emails and which for replies/forwards.
- Scroll to the bottom and click "Save Changes" (the most common oversight β nothing is saved without this step).

On mobile (Gmail app)
Note: the app's signature is independent from the desktop one and supports plain text only.
- Open the Gmail app β menu β° β Settings.
- Pick your account β "Mobile signature" (Android) or "Signature settings" (iPhone).
- Type the signature and save.
If you want your phone emails to carry the full HTML signature, a workaround: leave the mobile signature empty and reply from desktop when the professional image matters, or use Gmail's website in your phone browser in desktop mode.
Multiple signatures and on-the-fly switching
While composing an email on desktop, click the pen icon βοΈ in the compose toolbar to switch signatures for that specific email. Handy if you alternate a formal signature, a short reply signature and one in another language.
Common problems
- The signature shows a different font: select the pasted text and adjust the font from the signature box's own toolbar.
- Links don't work: select the link text, click the chain icon π and add the URL.
- It doesn't appear on replies: check "Signature defaults" β Gmail may have "No signature" set for replies.

Frequently asked questions
Why doesn't my signature appear when I reply to an email?
Gmail configures the signature for new messages and for replies/forwards separately. Go to Settings β General β Signature β "Signature defaults" and assign your signature to the "On reply/forward use" dropdown too.
Can I add an image or logo to my Gmail signature?
Yes: in the signature box, click the image icon and insert it from Drive or a public URL. Keep in mind some recipients will see images blocked by default, so key information should always be in text.
Are the mobile and desktop signatures the same?
No: the Gmail mobile app uses its own plain-text "mobile signature". If it is empty, emails sent from your phone go out without a signature even if you configured one on desktop.
How many signatures can I have in Gmail?
Gmail lets you create multiple named signatures and pick one as default or per message using the pen icon while composing. There is no practical limit for normal use.
